About this template

Freelancers and small studios can send this email with every invoice. It looks like good paper: warm off-white, serif headings and a terracotta accent, so it feels like it came from a person and not a billing robot.

A soft panel at the top shows the invoice number, the amount due in large type and the due date. A pay button sits right below. The line items follow with the total, then a short note with bank transfer details for clients who prefer that. A signature from the studio owner closes it.

Send invoices on the day the work is delivered, while the client still remembers it. Put the invoice number and the due date in the subject line. Use a friendly reminder a few days before the due date, not after.

Use it in your email tool

  1. Click Copy HTML, or download the .html file.
  2. In Mailchimp, Brevo, HubSpot or Klaviyo, start a new email with the custom HTML or code editor and paste it in.
  3. Change the text, links and images. Map merge tags such as {{first_name}} and {{unsubscribe_url}} to the tags of your tool.
  4. Send a test to yourself on desktop and phone before you send it to your list.
