About this template

A reminder for hosts on a holiday rental or short stay platform, sent a few days before a guest arrives. It gathers everything the host needs on one page.

A small pin icon and a navy headline say who arrives and when, with a nudge to share directions. A guest card shows the name, home town and member since date, and a navy button opens the conversation.

A wide photo of the living room reminds the host which listing is booked, followed by the listing name and type. A details panel lists check in, check out and the number of guests, then a note about house rules, the confirmation code with a link to the itinerary, what the guest paid and what the host earns, line by line. A short cancellations section ends the email.

Send it three days before arrival. The same layout works for guests if you swap the wording.

Use it in your email tool

  1. Click Copy HTML, or download the .html file.
  2. In Mailchimp, Brevo, HubSpot or Klaviyo, start a new email with the custom HTML or code editor and paste it in.
  3. Change the text, links and images. Map merge tags such as {{first_name}} and {{unsubscribe_url}} to the tags of your tool.
  4. Send a test to yourself on desktop and phone before you send it to your list.
