About reminder emails

A reminder email brings back something the reader already knows about: an appointment, a rent date, a plan renewal, a form that is due. People are busy and dates slip, so a short nudge at the right time helps both sides.

A good reminder answers three questions fast. What is it? When is it? What do I need to do? The templates on this page put those answers at the top, often in a details card or a small row of facts. Then come the actions, such as confirm and reschedule, so changing plans is as easy as keeping them.

Timing depends on the job. A haircut needs a nudge the day before. A renewal needs enough notice for someone to change their mind. A school form may need two reminders. Pick a schedule and do not send more than you need.

Keep reminders plain and leave the sales out. For health or other private appointments, share as little as you can: the time and the place are usually enough. All the dates and names in these templates are samples, so map them to the merge tags of your booking or billing tool.

Questions

When should I send a reminder email?

It depends on the task. For an appointment, a day or two before is common. For a renewal, give enough time for people to change or cancel.

How many reminders are too many?

Most tasks need one or two. Send a second one only if the reader has not acted and the date still matters.

Should I add a way to reschedule?

Yes. A clear link to change the time helps you fill the slot if the person cannot come.

Can I put health details in an appointment reminder?

Keep them out where you can. The time and the place are usually enough, and rules on health data may apply to you.
