About this template

Some messages land better when they look like a normal email from a person. This notice from Keystone Rentals, a sample property manager, tells tenants about a planned water shutoff. It has no logo image, no banner and no colors beyond a small blue button.

The letter opens with the tenant name, states the date and time of the work in bold, and lists what to do before it starts. One button adds the shutoff to the calendar. A closing line gives a direct phone number, and the property manager signs with name and role.

Send notices like this at least 48 hours ahead and repeat the key time in the subject line. Write the way you talk.

Use it in your email tool

  1. Click Copy HTML, or download the .html file.
  2. In Mailchimp, Brevo, HubSpot or Klaviyo, start a new email with the custom HTML or code editor and paste it in.
  3. Change the text, links and images. Map merge tags such as {{first_name}} and {{unsubscribe_url}} to the tags of your tool.
  4. Send a test to yourself on desktop and phone before you send it to your list.
