About this template

A message for new starters, sent a few days before day one. It opens with a desk photo and a bright coral panel that says the desk is ready, so the reader feels expected before reading the details.

A numbered timeline gives the plan for the day, from arrival to the first team lunch. Two small cards with photos answer the practical questions: which door to use and what to bring. The team lead signs off with a name, which matters more than any logo here.

Change the times, the address and the names. HR teams and small studios can both use it as it stands, and it pairs well with a separate email for contracts and payroll.

Use it in your email tool

  2. In Mailchimp, Brevo, HubSpot or Klaviyo, start a new email with the custom HTML or code editor and paste it in.
  3. Change the text, links and images. Map merge tags such as {{first_name}} and {{unsubscribe_url}} to the tags of your tool.
  4. Send a test to yourself on desktop and phone before you send it to your list.
