About this template

A candidate reading this wants four answers: when, where, who and what to bring. This letter gives them in that order and keeps the tone human. Fennick Systems is the sample employer.

A small wordmark and a short welcome paragraph come first, including the names and roles of the people the candidate will meet. An event card then holds the date, the time and the place, with its labels renamed to suit an interview. A checked list covers what to bring, and one button confirms the slot. The recruiter signs at the end so there is a person to reply to.

It suits any employer running in-person or video interviews. Swap the address for a meeting link when the interview is remote, and send it as soon as the slot is booked.

Use it in your email tool

  1. Click Copy HTML, or download the .html file.
  2. In Mailchimp, Brevo, HubSpot or Klaviyo, start a new email with the custom HTML or code editor and paste it in.
  3. Change the text, links and images. Map merge tags such as {{first_name}} and {{unsubscribe_url}} to the tags of your tool.
  4. Send a test to yourself on desktop and phone before you send it to your list.
