About this template

Letting agents and landlords can send this automatically a few days before rent is due. The reader sees what they need before reading a single sentence: three boxes hold the amount, the due date and the days left. Cedar Court Lettings is the sample agent.

Under the boxes, one sentence names the flat. A checked list then gives each way to pay, with a short note on what the reader has to do for that method. A square button leads to the tenant portal, and the footer has the office address.

The tone stays neutral on purpose, since most tenants pay on time and only need a nudge. Change the amount, the date and the reference rule for each tenant, and send it on the same day every month so people learn to expect it.

Use it in your email tool

  1. Click Copy HTML, or download the .html file.
  2. In Mailchimp, Brevo, HubSpot or Klaviyo, start a new email with the custom HTML or code editor and paste it in.
  3. Change the text, links and images. Map merge tags such as {{first_name}} and {{unsubscribe_url}} to the tags of your tool.
  4. Send a test to yourself on desktop and phone before you send it to your list.
