About event invitation emails
An event invitation needs to answer four questions fast: what is it, when is it, where is it, and how do I say yes. If a reader has to hunt for the date or the link, they will close the email and forget about it.
Our event invitation templates put those answers in fixed places. The hero names the event. A details box lists the date, the time and the place, with the address or the online link. A short agenda or a list of what people will learn gives them a reason to come. And one RSVP button closes the email.
These templates work for workshops, webinars, launches, meetups, open days and parties. For online events, put the platform in the place line. For local events, add the full address so phones can open it in maps.
Send the invite two to three weeks ahead, then a reminder a day before. Every template is email HTML with inline CSS and a phone layout.
Questions
When should I send an event invitation?
Two to three weeks before the event for most events, then a short reminder one day before and one hour before for online events.
Should I add a calendar file?
It helps. Link the RSVP button to a page that offers an add-to-calendar link, since calendar files in the email itself are not supported everywhere.
Can I use these for webinars?
Yes. Put the platform name in the place field and the join link behind the button.
